MilkMan

Privacy Policy

Draft for legal review before launch.

Effective date: 02 Oct 2026

MilkMan is a voice milk-collection and milk-parlor management platform, operated under CoherenIQ (Udyam Registration Number: UDYAM-KR-03-0729555), registered address # 60/1-23, 3rd Cross, Monypal County Rd, Singasandra, Bengaluru, Karnataka 560 068, India (“MilkMan”, “we”, “us”). This policy explains what personal data we collect, how we use and protect it, how long we keep it, and your rights, in line with the Digital Personal Data Protection Act, 2023 and the Information Technology Act, 2000 (including the Reasonable Security Practices Rules, 2011). MilkMan is offered only in India.

1. Who is responsible for which data

  • Parlor owners and admins: for the account, subscription and billing data of the parlor owner, MilkMan decides why and how the data is used (we are the data fiduciary).
  • Collectors, vendors and business records: for the information a parlor enters about its own collectors, milk vendors and milk collections, the parlor decides the purpose and MilkMan processes it on the parlor’s behalf (the parlor is the data fiduciary and MilkMan its processor). Vendors and collectors who want to see, correct or erase their data should ask their parlor first; we will assist the parlor.

2. Information we collect

Parlor owners and admins

  • Name, mobile number and optional email; an admin PIN (stored only as a salted hash); parlor name, state and language preference.
  • A record that you accepted our Terms, Privacy Policy and Refund Policy (date, time and version).
  • Subscription, wallet, payment-reference and invoice records, and offer codes used.

Collectors (field staff)

  • Name, login ID, optional phone, route, daily wage and wage history, attendance, leave requests and cover assignments, and the times they leave and reach the parlor and each vendor.

Milk vendors

  • Name, ID, optional contact number, joining date, and the milk collected from them: date, shift, quantity, grade, rate, amount, and a star rating derived from grades.

Voice entry

  • When a collector uses voice entry, the phone’s browser (for example Chrome) listens and sends the audio to its own speech-recognition service to turn it into text. That service is operated by the browser vendor (Google, for Chrome) under its own terms. MilkMan does not receive, record or store the audio or the spoken words. We store only the values the collector confirms (vendor, quantity, grade).

Technical data

  • Standard logs (IP address, browser or device type, timestamps) and security events such as failed logins, used to protect accounts.

We do not collect your location (GPS), contacts, photos or microphone recordings, and we do not collect or store card numbers, CVV, or bank or UPI credentials. Payments are handled directly by the payment gateway and its banking partners.

3. How we use it

  • To provide the service: recording collections, showing the live route board, calculating vendor payouts and collector wages, and producing reports.
  • To bill the platform fee, maintain your prepaid wallet, issue GST invoices and process refunds.
  • To verify your mobile number, send service messages (for example low-balance and security notices) and announcements about the service.
  • To keep the platform secure, prevent abuse and meet legal obligations.

We do not sell personal data and we do not use it for third-party advertising.

4. Consent

By creating an account and ticking the agreement box you consent to this processing, and we record when. Where the law requires separate consent for a specific purpose, we will ask for it at that point. You can withdraw consent by closing your account; withdrawal does not affect processing already done.

5. Who we share it with

  • Payment gateway: Razorpay processes wallet top-ups. We receive a payment reference and the amount, not your card or bank details.
  • Hosting and infrastructure providers that store and serve the data for us.
  • Message providers that deliver verification codes and notices on our behalf.
  • The browser vendor’s speech service, when voice entry is used (see section 2).
  • The parlor a collector or vendor works with, which sees its own people’s records. A vendor sees only their own entries; no parlor can see another parlor’s data.
  • Authorities, where required by law or court order, or to protect rights and safety.

6. Storage and security

Each parlor’s data is kept in its own separate database. PINs are stored only as salted hashes, traffic is encrypted in transit, login attempts are rate-limited, sessions expire when idle, sensitive actions are written to an activity log, and nightly backups are kept. Parlors can freeze a paid period (“close the books”) so it cannot be altered. We follow reasonable security practices, but no system is completely secure.

Your data is stored on servers operated for us by our hosting provider. If we ever move hosting outside India we will update this policy and rely only on transfers the law permits.

MilkMan will never ask you, by call, email or message, for your OTP, PIN or banking password. Never share these with anyone claiming to represent us. If you suspect fraud, tell your bank and write to us.

7. Retention and deletion

  • Detailed milk entries (each collection with its time, quantity and grade) are kept for 24 months, then automatically purged after we confirm that the monthly totals derived from them are intact.
  • Monthly summaries (totals per vendor, per collector and per rate, needed for statements, payouts and tax records) are kept for up to 7 years, after which all remaining data for that period is permanently deleted.
  • Invoices and payment records are kept for as long as tax, accounting and legal obligations require.
  • Closed accounts: you may export all your data and ask for erasure. Records we are legally required to keep are retained and then deleted when the period ends.

8. Your rights

  • Access the personal data we hold about you.
  • Correct inaccurate or incomplete data.
  • Ask for erasure, subject to the retention rules above.
  • Withdraw consent for a specific purpose where consent is the basis.
  • Nominate someone to exercise your rights if you are unable to.
  • Raise a grievance and receive a response within a reasonable time.

Parlor admins can download all of their parlor’s data at any time from the app, even when the account is paused. To use any right, write to support@cohereniq.com.

9. Local storage and cookies

We use your browser’s local storage (not third-party advertising cookies) to keep you signed in, store entries on the phone until they upload, and remember your parlor code and language. We do not use third-party advertising trackers.

10. Children

MilkMan is for businesses and is not directed at people under 18. We do not knowingly collect data from children.

11. Changes to this policy

We may update this policy. The effective date above shows the latest revision. Continued use after a change means you accept it. If a change materially affects how we use your data, we will tell you in the app.

12. Grievance officer

For privacy complaints, contact our Grievance Officer at support@cohereniq.com. We aim to acknowledge every request within 2 business days.

13. Governing law

This policy is governed by the laws of India. Disputes are subject to the exclusive jurisdiction of the courts at Bengaluru, Karnataka, India.
